I am needing help organizing my scrapbook files. I decided I would try using the organizer....my files are currently saved on both my hard drive and on an external hard drive so that I can also access them when scrapping from my laptop without having to take up valuable hard drive space on the laptop. I have files saved in a digital scrapbooking file with sub files like backgrounds, frames, etc. as well as a folder for kits saved together. My first question is that I am looking for a good way to find other elements that go with a particular background, say, if I've looked under backgrounds rather than kits. Is there an easy way to view everything available in a kit?
Also, if I go to the trouble of tagging individual element files is there some way I can do this on the files on my desktop hard drive and then copy to the external drive so that I don't have to do the whole process twice? I am just beginning to use organizer...in the past I've usually just browsed for elements in Windows Explorer (think that's what it's called) but am looking for a way I can get a larger view of the individual elements.

Hi Gayle,
Sorry I cannot be of much assistance to you with Organizer. (I do not use it because I have too many versions of Elements and Photoshop on the same computer!) There are several books out, though with comprehensive chapters about it that might help you. One is Scott Kelby's "Photoshop Elements for Digital Photographers" (any version)---and another is Barbara Brundige's "Missing Manual" for Elements. I believe there is also support and help available on the Adobe boards (adobe.com then support>forums>photoshop ELEMENTS....be careful to toggle Elements on those forums.)

There are also several members here who have some great ideas about Organizer, and some information on some of the other threads here at Scrapper's Guide.

Go to the Photoshop Elements main forum--then "search" then "organizer."

I tag everything with the source (Scrappers Guide, ScrapGirls, etc). The designer's name and if it's part of a kit the name of the kit. Then I tag the individual items such as paper, ribbon, and so forth. Then if I want to find all the elements of say the December premier kit I just click on that box and they all come up. If I just want the papers from that kit, I click on the kit and the papers tag and they come up. I know some people who go so far as to tag everything with a color as well so they can find all their blue items but while I think it would be handy I've not gotten that far with it. :rolleyes:

As far as transferring to another storage device, no clue. The only thing I can think of is to do all your tagging on one device and copy them to the other, but I'm not sure how or if the tags will transfer over.

I have a category for elements, then tags under that for the different types. Then I have a Category for Sources, with each source as a subcategory, then designer as subcategory under that and then kits as a tag under that. I also have a separate category that I put things like page templates and overlays in.

I use the organizer for my photos - when I upgraded to 5.0 I moved all of my photos to one folder, then created subfolders for each year (2003 - 2006). I had to do this because if you are bringing in new files, there is a limit to the number of files that the Organizer will let you import at one time. As far as the location of the files, all of them (as well as my scrapbooking files) are on my external hard drive - mostly because I move from my desktop in my room (for scrapping at nite) to the desktop in the living area (for scrapping during the day). You can save your catalog onto your external drive, and then retrieve it using the "Catalog - Open" when you open Elements. I have found that after I did it the first time, it defaulted to that location, so that's where it looks for it now (the default when you install Elements is your local hard drive). Also, I made changes to the catalog on one PC, and when I opened it on the other PC, those changes were reflected there as well.

The Organizer also allows you to do backups. You would select File - Backup. You can do a full backup, or incremental backups. After importing all of my files and tagging them, I created a full backup (didn't want to lose all that work:) ). I've also decided that I am going to do a full backup each time, just on different disks, so I always have a full set.

It really doesn't matter the location of your files - when you bring them into the Organizer, it keeps track of where they are located. However, if you want to use them on 2 different machines, your best option (in my opinion) would be to keep them all on the external drive and create backups of the external. You could backup the external to your local hard drive or CDs/DVDs. As you are going through and organizing all of your files, you might want to back frequently :)

Hi, Thought I'd share with you how I have my organizer set up. First of all, I have three catalogs. One for my husband's photographs, one for mine, and one for my scrapbooking elements. Since your question is about scrapbooking elements, I'll address that. First of all I created a new category called Kits. Under that I created a tag for each scrapbooking kit that I have. For instance, I have a tag that says Ancient Ways SE (SE is Scrapbook Elements); another example, A is for Airplane DF (DF stands for Digital Freebies). Then under Other, I have loads of tags like Alphabets, Angels, Book Plates, Brad, Bows, Charms, Envelopes.................Paper, Tags, Word Art, etc. I even have tags under this same category for Christmas, Easter, boy, girl. I think I get the best of both worlds this way. Sometimes I know I want to use a specific kit. Sometimes I don't, but I know I want to start with some kind of blue paper. This works well for me.

When I buy a new kit and import it into the Organizer, I first create a tag under Kits and mark each item in the kit with the kit's name. Then I go back through and mark each element with the appropriate element tag under the Other category; i.e., all the background papers in the kit get tagged with "paper" and all the brads with "brads".

Hopefully I've given you some ideas to think about. I know you will find a way to organize your Organizer to fit your specific needs.

One other thing, I also have a folder under My Documents called Digital Scrapbooking and each web store has a folder. That's why I mark my kit name in my Organizer with the store name (for instance, Scrapbook Elements). When I go to that folder in My Documents, like Scrapbook Elements, then Ancients Ways, I also have the designer's name included in the folder name; therefore, the folder Ancient Ways is actually called Ancient Ways Miki Ferkul. This way I can give credit to both the designer and the store when I post a layout.

I know a lot of you say that you don’t like the organizer in PSE-5. But I don’t know what I would do without it. Think all of us use it just a little differently

I have several different catalogs like Sissy does, DH’s pictures, my pictures, and my scrapping supplies. My organizing took a little while to get it working the way I wanted, and several weeks to get all the tagging accomplished, but now it so worth all the effort I put into it.

I started out given each designer a number, and I keep a list of them by both alpha, and numerical order which I keep updated and printed out (about once a month), I also have a handwritten notebook that I log each new number into. When I download and unzip a file, I rename it beginning with the number I assigned that designer, then the name of kit. I also go into the download and put the number and name on each and every item, this goes in front of what ever information the designer has on each item.

I have tags for fasteners, ribbons & bows, frames, even tags for different holidays. You can set this up anyway that makes sense to you, I did a lot of work on scratch paper before I set mine up.
I keep all downloads in different folders such as “alpha’s, kits, background papers, flourishes etc.

It is so great to turn on the little eye lids when your searching for say a blue striped paper and all you have to do is turn the eye on in color: blue – pattern: striped, and up pops all the blue striped papers that you have, then if you look down in the lower right had side of your screen you can see the name of the file, and where it is located. Back on your edit screen where you;r creating that new masterpiece, just do a file open and you know right where to browse to find that particular paper. The number will tell you who the designer is, then the name of the kit, so you can give proper credit.

It was well worth the effort this took.

Since I'm fairly new too digi scrapping this is very helpful info to me too. Since I am a digital photographer I do have my own method of storing and filing those files but have needed ideas in doing the scrapping files. Thanks.

My big question now is, if I do my cataloging off of my external hard drive, will the catalog be stored on the external drive so that I can access it from both my desktop and my laptop? I'm really hoping this is the case...if so, I think I will get an external devoted solely to scrapbooking so that it is easy to go from one computer to the other. I use the current external drive as a backup for everything on the desktop and don't want to take the chance of something happening with that drive if I'm using it on a frequent basis.

Yes, that is how I do it now. You can start creating the catalog on one computer, then save it, using these steps:
1) File --> Catalog --> Save As
2) Point to the external hard drive location & folder where you want to save it

On the other computer, Open the Organizer, and it will probably bring up the default on your C drive (that's ok). To bring up the catalog on the external..
1) File --> Catalog --> Open
2) Point to the location on the external drive where you saved the Catalog

You only need to do this one time. After that, the Organizer will look for the catalog in that location each time. Just be sure you have the external drive on when you launch the Organizer, otherwise, you will get an error message that the catalog can't be found (done that a couple of times already:D :D )

Try it with a few files that you tag. Switch from one machine to the other and make sure it works - just to be safe - before you spend a lot of time tagging things.

When I did this class I wrote a tutorial on tags and I also made a file of all my tags that can be imported. The red tag is red, most every kind of element you'd want has a tag. If anyone wants this you can have all of your tags done in about 30 seconds. You'll have to make your own for each designer if you want to do that because our kits will be different.

If you want the tutorial and tags to import let me know and I can email them to you it would save hours of work.

I emailed the tags & the tutorial to all 3 that requested it so hopefully it will work well for you all. I'd like to hear how it goes for you. It will save you a lot of time setting up your own tags and it's so EASY to just import them!

One more thing that's not in the tutorial is that since I only store my digital scrapbooking supplies in one catalog and my photos in another I deleted all of the preset tags and categories that I could like People, Events, etc.

Patty, after corresonding with you back and forth I am posting how I downloaded the tags you offered, as you suggested. You emailed me an attachment which had the tutorial and the tags. I went to the MSN website and opened my email through the hotmail link and then when I click on the "tags" part of the attachment there is an option to download, which I did to my desktop. Then I followed the instructions in the tutorial on how to install the tags in my organizer. It will now be so much easier to tag all my scrapbooking items with so many options to choose from. Thanks again.

Hi Patty - Thank you so much for the tag file! I was able to install it just fine following your directions. I'm still in the process of renaming all of my kits, what a massive project. Is there anyway to rename more than one thing at a time? TY -c-

The catalog is stored on the same external hard drive as all my files. When the laptop or desktop is hooked up to the external drive, they are each able to access the catalog. I don't remember who it was, but if you go back a few messages in this thread, someone gave very good directions on how to do this. Such a helpful group this is!

I am looking for advice on re-connecting files. I recently moved files around on the hard drive, and now a large portion of the tags that I have spent so much time creating in PSE 4 are disconnected. Is there a way to just tell the organizer to reconnect everything, or do I have to do the files one at a time?

If you put your pictures into different folders, what you might try is to go to file>get photos>from files and folders, if they have tags attached to them – they should open up in the organizer in Elements, and it will tell you that the files have tags attached to them, and it will ask you if you want to import the tags.

This is what I remember, I didn’t go back and test it out. I know it is a pain to have files that the organizer can’t find, that is why you should always move files in the organizer with the move to command.

Good luck in getting everything back in order.

To reconnect your missing files you need to go to File>reconnect>all missing files. The program will start searching for them all over your computer and depending on how you moved them it could tke quite a long time to do. You can also help the computer along when it shows you the file it's missing you can pick the location where it is. Try it it's not hard.
In the future you should have your files where you want them before you import them into the organizer. You can also move them from the organizer so that they don't get disconnected.

Offer for Tags & Tutorial
Sorry for the delay in answering your email(s) regarding the tags file and the tutorial on how to install the tags. Hopefully by now all of you who sent me a private message have received a reply. I have been taking care of my very sick baby grandson who is now on the road to recovery, thank goodness.
However since the time I posted the offer I have been told by someone that they felt the tags file has a virus. I don’t think it does but as I mentioned earlier it’s a strange kind of file that I’m really not that familiar with so I need to get it checked out by someone that really knows what they’re doing before I send it out just to make sure. When I get it checked out I’ll post it on the message board again. I have 3 trips scheduled until the end of February so it may take me a little while. For the people that I emailed the file to and have used it I really don't think there is a problem but if you haven't installed the file please don't. I use virus protection and again like I said I think it looks like a weird file but it's fine-I've used it in my classes and I've never had a problem.
From your emails there seems to be a little bit of confusion. I have 2 different organizers that I use all the time one for scrapbook supplies and the other for my photos. If you’re going to tag your photos you would make tags for the people in your life and events-those are really personal things so my tags won’t work for you since I’m sure our children all have different names!
For my scrapbook supplies I made tags for different colors, types of elements, designer names, & themes like holidays etc.
It’s really quite simple but unfortunately I didn’t write a tutorial on how to make the tags only how to install my set. I know I read about how to do it somewhere but right now I’m so far behind the couple of books I’ve looked at don’t have it and I don’t have a lot of time to look for it. I did take an online class through Photoshopelementsuser.com on the organizer and it was great (hopefully this kind of information is ok to post). For $20 it's a great education on the organizer!

When I get the file checked out O.K. I’ll post a message on the board again.

I think that your tags will be attached to your files only if you attach them to the files. Go to File>write tags to files. This only writes them to JPEGS, TIFFs, and I think PSDs it will tell you which kind of files. It will not write to PNGs so if you're tagging your scrapbooking files this won't work.

You can send me a tagged file (that you've written the tags to) and when I go to import it into my organizer it will ask me if I want to import your tag.

I now have a problem with this process and it seems to be a weird one. I have my elements, etc. on an external drive so that I can go back and forth between my laptop and my desktop with the same organizer catalog. The catalog is also stored on the external drive.
I tried to make a backup dvd of some photos using my f: drive on the desktop and forgot that dvd writer wasn't working. Now, when the external drive is hooked up to the desktop, instead of looking for the catalog on the h: drive, where I tell it to look, it acts like it has found a catalog on the f: drive (with nothing in it). I am using folder view in the organizer. The kit file folders show up , the pictures of the elements show up, but when I click on them, the link is broken. The icons on the left with the folder names are light gray. Then, for my h: drive it has the same kit file folders listed, but the icons are just a solid yellow color. When I click on the folder, nothing shows up to the right like it used to do. I tried deleting the catalog (thank goodness I'd not gotten any taggin done yet) and making another catalog with another name. I even thought maybe there was a problem with elements and uninstalled and reinstalled it. I haven't come up with anything that works. Any ideas?
Also, once I get the tags done (assuming I get the above problem straightened out), if I make a backup of the catalog, does it back up the tags, also?

Thanks for any help anyone can give. The process of going back and forth between the laptop and desktop worked fine until just last night!

Hi Gayle - do you have a backup of your Catalog (.psa) file? If you are using Windows XP and creating automatic restore points, you might try rolling back to the last day it worked by using System Restore. Before doing the system restore, unplug the external drive. Once the system is restored, connect the external drive. You will then need your Catalog backup to restore within Elements or create a new Catalog.

Or, you might check to see if "H" is still assigned to your external drive. If not, there is a way to reassign the drive letters.

I tried restoring the computer to a future date but that didn't help. I spent days reconnecting the files in elements organizer and I thought that was going to work. But now that I'm finished doing that, the drive letter is wrong when I hook the external up to the laptop. I did the reconnect with it hooked up to the desktop. Do both drives need the same name? If so, how would I do that? Any help would be greatly appreciated.

Hi Gayle ... just to confirm, your Organizer catalog is still stored on the external drive, used by both desktop and laptop. If so, then Yes, the drive mapping to the external drive should be the same on both machines.

To change drive letters:
-plug in the external drive
-sign in as an administrator
-Select Start, Run and type compmgmt.msc, click OK
-Select Disk Management
-Find the external drive in the list and click on the descriptive name
-The image bar will change to indicate the drive that is selected
-Right click and Select "Change Drive Letter and Paths"
-Change to desired drive letter and follow the prompts.
-Repeat on 2nd machine

Hope this helps solve the issue. Let us know the outcome.

Hi, I love the idea of having different catalogs for different purposes. I am thinking I need one for scrap elements, one for my heritage photos, and one for my current family photos. As of right now, I don't have the scrap elements in the PSE4 organizer, so creating that one will be easy. However, I have all my photos in one catalog right now, and am wondering how to split them apart.

I also am a bit confused as to how to move everything to an external drive. I am thinking that I need to move the photos, do a "save as" for the catalog to the external drive. However, when I open the catalog on the external drive, all the photos will have the "missing link" error. How do I overcome this?

Now another problem with my external drive and cataloging elements. Last night I loaded some new elements, the catalog realized there were some new items in may watched folders, but when I told it to import, the elements do not show up in the catalog, only a gray hourglass like image where the elements usually appear. Any idea what might be going wrong? I have more files to put on my external drive, but don't want to do so until I get this cleared up.

With the challenge of an album in a month I had to get busy in my organizer to get the photos ready. I put all the Alaska photos in the collections. I then sorted them by days on the cruise and tagged day one with one star and day two with 2 stars etc, etc. When I am ready to pull up the photos I have a way to determine which photos will go in that section of the scrapbook. It has saved me a lot of time after the initial sorting. I also put all the rest of my photos in separate collectiions so I could find them quickly.
I had not used the organizer very much until this challenge. I had my pictures in folders in My Documents.

I had not used the organizer very much until this challenge. I had my pictures in folders in My Documents.

Thank you so much for sharing that tip. WHAT a great way to identify the photos! I know you can do something like this with the "Collections" feature too, and then pull up only the collection of pictures that go with your project. I don't use Organizer, so I'm always just so excited to learn ways to work with it.

I posted awhile back that I had some difficulty with the tags file. One person went so far as to privately email me to say she thought the file had a virus so I stopped sending it out. I now know for sure that it didn't have a virus and she was just confused because it's not a regular type file and she didn't follow the instructions I sent her.
I am in the final stages of publishing a book and cd that will compliment a class I'm teaching on digital & hybrid scrapbooking in community colleges in Southern California. The tags are on the cd that is sold with the book which is all copyrighted so I am unable to send them out anymore. Sorry!

Help Please...I am trying to organize my scrapbook kits in organizer...as seen from above several of you do that...I followed Sissy's & Jo's idea...now I have a dumb question...I started numbering the kits and giving them a name..then I started adding bows, brads, etc..I gave everything tags..(wasn't sure if I should give them a sub-category) BUT because I have so many tags now I'm at the bottom of the page...is there a way to go on and make a new page or do I have to set up a new catalog...or do I need to go back and simplify tags???

Hi Terriscrapper,

I’m very flattered that you found my suggestions for using the organizer helpful enough that you are trying to incorporate some of my ideas in organizing your supplies. I didn’t make a tag for each item such as one for bows, another for brads etc. What I did was make a general tag for Embellishments, and then under that tag I made sub categories/tags for those things, sometimes I would even group things like one category I had was for Fasteners, and under that category I had things like brads, staples, eyelets, pins, and all the things that my mind would use to fasten things to a page.

Try making less tags, and use more sub tags under them, then you can collapse the little arrow at the side of the main tag until you need to look in that area.

Newbie here! I am new to message boards and digital scrapping. I am trying to figure out this organizer as I just received the new elements program as a gift. I found this thread helpful. This (http://www.photofanatic.com/) is a great website to get you started with the organizer. Also, the tutorials that come with the program aren't bad. I would check out the library for other PSE books.

I emailed the tags & the tutorial to all 3 that requested it so hopefully it will work well for you all. I'd like to hear how it goes for you. It will save you a lot of time setting up your own tags and it's so EASY to just import them!

One more thing that's not in the tutorial is that since I only store my digital scrapbooking supplies in one catalog and my photos in another I deleted all of the preset tags and categories that I could like People, Events, etc.

I can't belive that this thread is still going strong with regards to the Organizer. I apologize that I have been off this message board for so long. I do try and check back in every so often. I recently released a new book on digi-scrapping with PSE. The tags file has been included with the sale of the book.

Scroll down to the second page where it says make your own tags completely free. This is in a pdf format so you can print it out and use it by your computer.

In additinal in another thread on this board I listed some of the differences I've found between PSE 5 & PSE 6.

This is a great community you all have here helping each other which is what it's all about. I appreciate the support I've received here and love Linda's products!
